Governing report development/ data management enables UBC to develop its own reports using Workday. It will also develop a Community of Report Writers who have the knowledge and understanding of the functional configuration for their area, and maintain ongoing leadership and attention to reporting standards and requirements to ensure the reporting capabilities at UBC continue to be developed.

Governance

Workday

The Enterprise Data Governance Team has partnered with the Integrated Service Centre (ISC), and the IRP to address how to govern reports in Workday. Reports will be governed by means of:

  • Report Standards
    • Standards reinforces governance over reports and defines expectations for metadata, custom fields development and calculated fields, report maintenance and retention, and security and access. Standards that have been developed are: Workday Reports Standard and Calculated Fields Report Standard
  • Report Governance Training
    • EDG develops the training materials and delivers the initial training based on developed standards and ISC requirements. The ISC team manages future delivery of training as required.
  • Governed Report Processes
    • Limits Report Writers to non-production environments and creates a process for migration to production environment by Report Admins, including quality control checks
    • Processes include calculated fields process and access requests to reports (Data Access Framework) 

Tableau

Tableau is currently used as a tool to develop dashboards and perform analysis across UBC. The University Data Platform is currently leveraged by Tableau for reporting.

  • Site Usage/Cost
    • Develop the processes and metrics to determine site usage by department and ensure optimization of Tableau resources.
  • Data Management
    • Ensure data loaded to the Tableau server is anonymized and secure.
    • Minimize size of Tableau extracts to ensure performance of the server
    • Manage sites to ensure only up to date dashboards and data are available.
  • Tableau Server Management
    • Work with Tableau users:
    • Use best practices when developing calculation to ensure optimum performance of dashboards.
    • Work with new users to develop data management practices
    • Ensure best use of resources by leveraging best practices

University Data Platform (UDaP)

The University Data Platform can be used to develop dashboards and reports on HCM and Finance data.

  • Data Governance
    • Developed processes and standards to ensure UDaPis in alignment with the University Data Model.
    • Developed standards for preparing semantics of data to ensure consistency
  • Data Access Framework
    • Data Access Framework is used to ensure access to data is approved by data stewards and data trustees.
    • Standards for usage of data have been established and users sign an agreement with UBC
    • Access to data is reported and documented. Can be revoked at any time
    • Only authorized ETL developers have access to UDaP transformations
  • ETL Governance
    • ETL Developers must follow specific standards to ensure consistency in the outcomes of UDaP:
    • Ensure no Oracle specific features are used
    • Consistent process for dealing with historical data
    • Maintain data lineage to ensure transformation are auditable

Requesting Data Sets

Providing data in different formats to UBC Faculties and Departments is a service delivered by the Enterprise Data & Report team. When we deliver an extract, report, or dashboard, it is first considered a Data Access Request.
