Purpose

This standard aims at providing guidance for completing address lines in Workday.

This standard applies to all UBC applications collecting Person Names. Exceptions are listed in the Dispensation section.

Standard

Workday addresses are presented in a variety of formats based on country. Address elements can include multiple of the following:

  • Address lines 1 to 3
  • City, Town or Municipality 
  • Sub-city or Sub-municipality
  • Region1
  • Sub-region(s)2 1 to 3
  • Postal code

Canada and US Address Format
If civic address, enter
Address line 1
(Mandatory)

e.g., 1984 West Mall, Room 201
Street number and name (includes street type3 and direction3), Unit type and number (if applicable)

Address line 2

e.g., Geography Department, University of British Columbia
(Additional delivery information including care of information, house number extension/complex/block/building name and number, floor, stairway number, etc.)

If postal box address with civic address4, enter
Address line 1
(Mandatory)

Street number and name (includes street type3 and direction3), PO box and station information

If rural route address with civic address4, enter

4 Where civic address is present, it must be entered in front of postal or rural route address as shown in the examples within the standard.

International Address Format

Address formats for countries other than Canada and US comprise of multiple Address Lines ranging from Address Line 1 to Address Line 3.

All international countries must limit address information to the first 3 lines only per recommended format below.

If civic address, enter
Address line 1 e.g., 123 Main St., APT 10
Street or place name (includes street type5 and direction5), House or Unit type and number (if applicable)
Address line 2 e.g., Marketing Department
(Additional delivery information including care of information, complex/block/building name and number, floor, stairway number, etc.)
Address line 3 Any other address information that is not captured in Address line 1 or Address line 2.

Compliance

This standard must be complied with through every stage of the data lifecycle with the exception of dispensations listed on the Dispensation section.

  • All applications must collect Person Name as recommended in this standard.
  • Enterprise Data Integration must adopt this standard.

Dispensation

Legacy systems are exempt from this data standard. Examples of legacy systems are:

  • Student Information System (SIS)
  • Human Resource Management System (HRMS)
  • Finance Management System (FMS)

As systems are replaced, adoption of this standard is required.

As existing systems change to adopt this standard, the Enterprise Data Governance team needs to be informed.
