Definition

An Admission Fee is a charge to an Admission Applicant related to their Admission Application.

Purpose

This standard aims to achieve consistency around the data collected for an Admission Fee, and the format in which it is collected and stored.

This standard is derived by UBC and applies to all applications collecting Admission Fee. Exceptions are listed in the Dispensation section.

Admission Fee Amount

This is also referred to as Application Fee Category in the AAP System.

The amount that the admission applicant is required to pay to satisfy the assessed Admission Fees for their application. Numeric

Admission Fee Due Date

The deadline for the admission applicant to pay the Admission Fee.

The Admission Fee Due Date is currently set to the same date as Admission Application Due Date.

Application Fee Type

The categorization of the Application Fee based on whether the admission applicant is a domestic or international applicant.

The applicant’s domestic or international status is determined using other attributes such as Visa Type and Canadian Residency Status.

Admission Fee Type

The following are the accepted values for Admission Fee Type:

Accepted Value University Glossary Term Definition
Application Fee Application Fee [Admission Fee Type]

A charge assessed to an admission applicant for the general administrative processing of their admission application.

There are multiple Application Fees, and each are handled by the relevant Admissions Processing Area.

Faculty Evaluation Fee Faculty Evaluation Fee [Admission Fee Type]

A charge assessed to an admission applicant for additional processing fees related to the program of study associated with the applicant’s Admission Application Choice.

This commonly includes Faculty Supplemental Application Fees.

Acceptance Deposit Acceptance Deposit [Admission Fee Type] A sum that must be paid by an admission applicant, or waived by the relevant Admissions unit, in order to accept their offer of admission. The balance is credited toward the applicant’s future tuition charges.
Application Fee Type

The following are the accepted values for Application Fee Type:

Domestic DOME Domestic [Application Fee Type] The admission applicant is considered a domestic applicant, and therefore is charged the domestic application fee rate.
International INTE International [Application Fee Type] The admission applicant is considered an international applicant, and therefore is charged the international application fee rate.
Faculty Evaluation Fee Type

The following are the accepted values for Faculty Evaluation Fee Type:

Midwifery Supplemental Application Fee BMWS Bachelor of Midwifery Supplemental Application Fee [Faculty Evaluation Fee] A charge assessed to an admission applicant who has applied to the Bachelor of Midwifery, to cover the processing costs for evaluating the program’s supplemental application.
Music Supplemental Application Fee BMUSS Bachelor of Music Supplemental Application Fee [Faculty Evaluation Fee] A charge assessed to an admission applicant who has applied to the Bachelor of Music, to cover the processing costs for evaluating the program’s supplemental application.
Nursing Supplemental Application Fee BSNS Bachelor of Science in Nursing Supplemental Application Fee [Faculty Evaluation Fee] A charge assessed to an admission applicant who has applied to the Bachelor of Science in Nursing, to cover the processing costs for evaluating the program’s supplemental application.
Bachelor of Pharmaceutical Sciences Supplemental Application Fee BSCPS Bachelor of Pharmaceutical Sciences Supplemental Application Fee [Faculty Evaluation Fee] A charge assessed to an admission applicant who has applied to the Bachelor of Pharmaceutical Sciences, to cover the processing costs for evaluating the program’s supplemental application.
Entry-to-Practice Doctor of Pharmacy Supplemental Application Fee PDETPS Entry-to-Practice Doctor of Pharmacy Supplemental Application Fee [Faculty Evaluation Fee] A charge assessed to an admission applicant who has applied to the Entry-to-Practice Doctor of Pharmacy program, to cover the processing costs for evaluating the program’s supplemental application.
Doctor of Pharmacy Flexible Program Supplemental Application Fee PDFLXS Doctor of Pharmacy Flexible Program Supplemental Application Fee [Faculty Evaluation Fee] A charge assessed to an admission applicant who has applied to the Doctor of Pharmacy Flexible Program, to cover the processing costs for evaluating the program’s supplemental application.

Compliance

The above standard must be complied with at every stage of the data lifecycle except for any dispensations (see Dispensation section).

  • All applications must collect data as recommended in this standard.
  • Enterprise Data Integration must adopt this standard.

Reference Data Compliance for Data Integration

The use of accepted reference data values in this standard for data integration among applications must comply with the enterprise integration pattern of leveraging the reference data common service API (Application Programming Interface) published in UBC MuleSoft Exchange.

Any application that intends to access real-time, case-level reference data should have the application owner or manager complete and submit a Request API Access form.

Mapping of Invalid Values from System(s) of Record (SoR) to Common Services

A common service can only accommodate standard reference data enumerations that are available in the SoR as approved by the Data Governance Steering Committee or Data Trustee.

A reference data value that does not match any of the standard reference data value enumerations is considered 'invalid'. Any records from a SoR containing an invalid reference data value for a given data element or attribute must be mapped as an 'empty' value in common service(s). Where a reference data value may potentially have the same meaning as a standard enumeration but named differently in the system of record can be corrected to match the appropriate standard enumeration. Please consult with the EDG team in such cases.

Additional reference data values in a SoR that are not part of the standard reference data enumerations are to be omitted in the common service.

Dispensation

Legacy systems are exempt from this data standard. As systems are replaced, adoption of this standard is required.

Appendix

Admission Fee Type – Future Recommendation for Application Fees

At this time only one Application Fee value is being included in the Admission Fee Type attribute at this time; this Application Fee value represents the Undergraduate Admissions Application Fee only, which is the only application fee that is either being stored in the AAP system or passed to the AAP system via an integration.

If in a future release there are other application fees being stored or passed via integration to the AAP system, the list of current Admission Fee Type values can be expanded to account for each application fee.
