Purpose:
The Integrated Reporting Governance Committee will oversee the prioritisation of requests for reports and other form of data extracts from the Student Information Systems and other enterprise systems. The Committee will also guide the development of an integrated reporting technology platform that can be used by a wide range of community members for their reporting needs.
Objectives:
- Establish and oversee a process by which requests for custom reports, data extracts, data feeds and other means of accessing data from the major enterprise systems (including PeopleSoft, SIS and RISe) by university leadership are validated, prioritised and resourced.
- Oversee the coordination of requests for data from these systems among all departments to maximise the efficiency of such requests.
- Guide the development of an integrated reporting platform that will:
- Allow user-initiated access to a defined set of regularly refreshed operating information
- Integrate all significant enterprise data sources to deliver such operating information
- Support the cleansing of data and ongoing management of data quality
- Ensure defined data requests adhere to a set of institutional data definitions
- Provide a mechanism for ad-hoc data requests from institutional leaders to be fulfilled quickly and with minimum technical overhead
- Provide a tool for display of data trending, scenario analysis and information dependencies that can be used by institutional leaders in a self-supported fashion.
- Own the long-term evolution of such an integrated reporting platform.
- Support the request for budget required to develop and maintain this platform.
Discussion inputs:
- Requests for system data extract, pre-prioritised through the defined process
- Proposal for design and implementation of an integrated reporting platform for UBC
- Proposals for functional enhancements to the reporting tool design
- Proposals for functional enhancements to the reporting tool design
Discussion outcomes:
- Prioritized and approved series of data extract requests for implementation by the technology support team
- A recommendation for an integrated reporting platform to the Executive of UBC
- Continuous evolution of the reporting platform tool to meet the evolving needs of the institution
Committee Chair:
The Integrated Reporting Governance Committee will be chaired jointly by the Director, Planning & Institutional Research and the University Comptroller. The role of the Co-Chairs is to:
- Schedule the meetings
- Set the meeting agendas
- Lead the meetings
- Ensure meetings are minuted and minutes are circulated promptly
- Ensure that agreed follow-up actions as documented in the meeting minutes are completed
Procedures:
- The Integrated Reporting Steering Committee meets bi-monthly.
- Substitutes are not permitted.
- The Committee Coordinator will prepare the agenda for data access requests according to pre-prioritised requests in conjunction with the Co-Chairs.
- The manager of the Integrated Reporting Platform project will prepare the agenda for oversight of the project in conjunction with the Co-Chairs.
