Purpose

This standard aims to achieve consistency around the data collected for postal address and the format in which it is collected and stored across the University. This standard does not apply to addresses issued by the University, for these addresses refer to the UBC Campus Address Standard.

This standard applies to all UBC applications collecting Postal Address. Exceptions are listed in the Dispensation section.

Standard

An Address may represent a location that is in Canada, in the United States, or International (non-Canadian and non-United-States). The following are the data attributes that should be used to describe an address:

Compliance

This standard about postal address must be complied with through every stage of the data lifecycle with the exception of any dispensations (see Dispensation section):

  • All applications must collect postal address as recommended in this standard.
  • Enterprise Data Integration must adopt this standard.

Workday

Workday address components

Workday address components are presented in various formats dynamic based on selected country. Address elements can include multiple of the following:

  • Address lines 1 to 9
  • City
  • Municipality
  • Sub-municipality
  • Region1
  • Sub-region(s)2 1 to 3
  • Postal code

This standard aims at providing guidance for how UBC Address attributes map to address lines and attributes in Workday. For all available attributes, populate the respective fields in the order shown below, and separate each value with a comma:

Legacy Systems

Legacy systems are exempt from this data standard. Examples of legacy systems are:

  • Student Information System (SIS)

As systems are replaced, adoption of this standard is required.

As existing systems change to adopt this standard, the Enterprise Data Governance team needs to be informed.
