Student Award Type Data Standard

Purpose

This standard aims to achieve consistency around the data collected for Student Award Type, and the format in which it is collected and stored.

Student Award Type is used to categorize the Student Award for administrative, regulatory and reporting purposes.

This standard is derived by UBC and applies to all applications collecting Student Award Type. Exceptions are listed in the Dispensation section.

Standard

The following are the accepted values for Student Award Type.

Student Award Type
Accepted Code Value Accepted Value Description
AWRD Award A Student Award that is given on the basis of Merit or Hybrid assessment criteria.
BURS Bursary A Student Award that is given on the basis of assessed financial need.
FELL Fellowship A Merit-based Student Award given primarily based on academic achievement and/or research ability and potential.
MEDL Medal A Merit-based non-monetary Student Award given to a graduating student based on Academic Merit and/or other achievement.
PRIZ Prize A Merit-based Student Award given based on Academic Merit or other academic achievement such as performance in a course, research opportunity, or recognition of their publication record.
SCHL Scholarship A Merit-based Student Award given solely on the basis of Academic Merit or other academic achievement.
UNLO Emergency Support Emergency funding provided by the University to a student to help them through short-term financial difficulty. This has been renamed from UBC Emergency Loan to Emergency Support. Emergency Support is normally not repayable to UBC, with the exception of UBC Advances.
GRNT Canadian Government Grant A Student Award funded by Canadian provincial or federal governments normally given on the basis of financial need that is not repaid.
USGR US Government Grant A Student Award funded by a US government body normally given on the basis of financial need that is not repaid.
LOAN Canadian Government Loan A Student Award given by a Canadian provincial or federal government on the basis of financial need that must be repaid.
USLO US Government Loan A Student Award given on the basis of financial need paid by US Federal Student Aid or another US student loan body that must be repaid.
STDT Studentship A research assistantship, used only when a student is located outside of Canada and cannot be paid their stipend through UBC payroll.

The definitions for the following reference data values for Student Award Type will be retained for historical reference for reporting purposes, but will not be used moving forward as part of this data standard:

SRES Summer Research A Student Award given as short-term financial support to a student who pursues a summer research opportunity in a specific field. This Award Type will not be used in the future, but the definition will be retained for historical data. Production release date of Learner Financial Support System

Compliance

The above standard must be complied at every stage of the data lifecycle with the exception of any dispensations (see Dispensation section).

  • All applications must collect date as recommended in this standard.
  • Enterprise Data Integration must adopt this standard.

Reference Data Compliance for Data Integration

The use of accepted reference data values in this standard for data integration among applications must comply with the enterprise integration pattern of leveraging the reference data common service API (Application Programming Interface) published in UBC MuleSoft Exchange.

Any application that intends to access real-time, case-level reference data should have the application owner or manager complete and submit a Request API Access form.

Dispensation

Legacy systems are exempt from this data standard. As systems are replaced, adoption of this standard is required. Examples of legacy systems are:
